Our Video Production Process

From first idea to final export, here is how Filmit.xyz runs projects in South Carolina, New York City, and everywhere in between.

At Filmit.xyz we keep the process simple on the client side, even when the production is complex. You get a clear roadmap, one main point of contact, and a crew that actually likes being on set together.

This page walks through every phase of a typical project so you know what to expect before we ever roll camera. Whether we are filming on a farm in South Carolina or a rooftop in New York City, the framework is the same. We adjust the scale, not the quality.

1. Discovery and project fit

Every project starts with a discovery call. It can be ten minutes or an hour, but the goal is the same: understand what you are trying to achieve and make sure we are the right partners.

During discovery we cover:

  • Your brand, product, or project

  • What success looks like for this video

  • Where the content will live
    (website, social, broadcast, internal, events)

  • Timelines, key dates, and any hard constraints

  • Approximate budget range

From that conversation we recommend a direction. That might be a flagship brand film, a series of short social spots, documentary style storytelling, or a complete content package that covers multiple channels.

You receive a concise follow up that outlines:

  • Project goals and audience

  • Recommended deliverables

  • Rough schedule

  • Ballpark investment range

If everything feels right, we move into a formal proposal that looks similar to the RFP responses we write for our larger clients.

2. Proposal, budget, and scope

Before we pick up a camera, we make sure the scope, responsibilities, and cost are crystal clear.

A typical Filmit.xyz proposal includes:

  • Project overview and objectives

  • Creative approach and references

  • Detailed list of deliverables
    (for example: 1 main film, 3 cutdowns, 10 vertical shorts)

  • Production approach and estimated days in South Carolina, New York City, or other locations

  • Line item budget by phase
    pre production, production, post production

  • Assumptions, exclusions, and client responsibilities

  • Timelines and payment schedule

For larger engagements or RFPs, we also include bios for key crew, example work, and optional add ons like behind the scenes coverage or extra social content.

Once the proposal is approved and the initial invoice is paid, we lock in dates and move into pre production.

3. Pre production

Pre production is where the project really takes shape. The more work we do here, the smoother everything runs on set.

Typical pre production tasks:

Creative development

  • Refine the concept, tone, and message

  • Scriptwriting or interview outlines

  • Mood boards and visual references

  • Deciding on aspect ratios and deliverable formats

Planning and logistics

  • Shot lists and storyboards where needed

  • Location scouting in South Carolina, New York City, or other markets

  • Permits and location agreements

  • Casting and talent coordination

  • Crew booking and travel plans

Technical prep

  • Gear lists customized to the project
    (for example: RED Raptor, Atlas anamorphic glass, audio kits, drones)

Client alignment

  • Production schedule and call sheets

  • Clear review plan for scripts and creative

4. Production

Production is where everything comes together on set. Our goal is a calm, efficient environment where the footage looks great and your team feels taken care of.

Crew and roles

We build a compact, senior crew based on the project:

  • Director or producer director

  • Director of photography

  • First assistant camera

  • Gaffer and grip support

  • Sound mixer

  • Field producer or coordinator

  • Hair and makeup, art department, and additional support as needed

Whether we are filming in a Greenville warehouse, a Charleston wedding venue, or a Manhattan office, we scale the crew to the environment, not the other way around.

On set experience

On the day of production you can expect:

  • A clear schedule with defined scenes or interview blocks

  • A single main contact from Filmit.xyz who keeps things moving

  • Professional presence with a friendly, respectful vibe

  • Flexibility for last minute ideas while protecting the schedule

We monitor image, sound, and continuity as we go so we do not fix preventable issues later in post.

5. Post production

Once filming wraps, we back up all media to multiple locations and move into the edit.

Editorial

  • Assemble selects and structure the story

  • Build a rough cut based on the approved direction

  • Integrate interviews, voiceover, b roll, and music

  • Add temporary graphics where needed

You receive a rough cut through an online review platform with time coded comments so feedback is simple and clear.

Sound and color

After the structure is locked:

  • Clean and mix dialogue

  • Layer in sound design and licensed music

  • Color grade the project to create a consistent, cinematic look

  • Apply any show LUTs or custom looks that fit your brand

Graphics and finishing

Final steps can include:

  • Animated titles and lower thirds

  • Logo animations and end cards

  • Captions and burned in subtitles if required

  • Aspect ratio deliveries for web, social, and vertical formats

Most projects go through two to three rounds of revisions. We outline this in the initial scope so expectations are aligned from the start.

6. Delivery and implementation

When the cut is approved, we prepare final deliverables based on your needs.

Common delivery formats:

  • High resolution master files for archive

  • Web optimized MP4s for your site or hosting platform

  • Vertical and square exports for TikTok, Reels, and Shorts

  • Cutdowns for paid media with or without captions

  • Clean versions and tagged versions for different partners or markets

We send everything through a download link and can also coordinate delivery directly to your internal servers, Dropbox, Frame.io, or other platforms.
